What personal data we collect, how and why we collect it

We do not collect any personally identifiable data about you without your knowledge except for your IP address when you visit this site. This is required as part of our website security system and is only used to identify nefarious use of and cyber-attacks targeted at this site. All other personally identifiable information obtained from you is that which you have provided yourself such as in Contact Forms, email and other formats outside the scope of this website.

Contact forms

The contact form at the bottom of the home page, triggers an immediate email to our office. No data entered into the form is ever stored anywhere within this website. We will read your email through our internal mail system which is SSL/TLS encrypted and will retain the information you supplied for the purpose of returning communication with you in direct relation to your enquiry. We do not hold this data for any other purpose and will not share it with another party unless required to do so by law.

Cookies

We will set temporary cookies to determine if their browser accepts cookies. These cookies contain no personal data and are discarded again when you close the browser session. Additional cookies are used for site administrators when they log into the site for maintenance. These are removed automatically on logout. Cookies enable our website to respond to your usage & preferences. If you do not want to allow cookies, these must be switched off in your web browser settings, however, our website may not function correctly as a result. You may, of course, clear cookies from your browser whenever you wish using the built-in ‘clear history’ options.

Embedded content from other websites

Articles on this site could include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website.

These other websites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content, including tracking your interaction with the embedded content if you have an account and are logged in to that website.

Analytics

We do not currently use any analytics for our website except for the purposes of detecting and safeguarding our site from spam/hacking attempts. This information is shared only with our website manager and legally subcontracted security company who are both GDPR compliant.

Project Data (Work in Progress)

We take the role of Data Processor very seriously when we are working on your behalf. When we receive work from you, you may supply data to us in a variety of ways (verbally, by email or via a portable storage device) which is to be used as part of the print process. Depending on the type of print job we do for you, this ‘Project Data’ in some instances may contain personal data; names, physical addresses and/or email addresses and other data, about individuals to whom the finished printed materials are intended. We advise you to encrypt (at best) or password-protect (at minimum) any data files you send to us containing this type of personal data, especially when it is about third parties (your own customers).

All our working data is stored at rest on AES-128 and AES-256 encrypted hard drives, on systems protected by login security with restricted access, limited to the key personnel who are actively working on the quote/design/print process.

Our email systems are protected by strong passwords and TLS/SSL encryption during transit as are our backup storage mediums which protect data at rest. Encrypted backups are removed and taken off-site when the premises are closed.

Data stored on our internal and external systems remains in the UK except for the website security data of this site which is processed by a relevant security company based in the EU and with whom we have an SCC agreement to maintain GDPR compliance.

We change our access passwords on a regular basis in addition to changes in personnel.

We use multiple firewalls in our organisation when our computers are connected to the internet and keep our systems up to date with the latest operating systems, security patches and appropriate anti-malware applications.

 

How long we retain your data

We only retain Project Data that contains personal data for as long as is necessary to complete the print job and then the data is securely deleted the same day. We only retain other print data (print designs) for as long as the individual contract of work between us requires it, thereafter it is securely deleted from our internal systems. Our encrypted backup systems are cleared at least once annually plus on an ad-hoc basis, for example, when you exercise your right to be forgotten.

This website does not retain any data except for that already mentioned for our security software to protect our site and assist law enforcement agencies when required by law to do so. This data is retained here for 30 days.

 

What rights you have over your data

As a Data Subject, you can request (known as a DSR) to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

 

Where we send your data

With regard to this website, visitor IP addresses are only shared with our security partners who are GDPR compliant.

With regard to Project Data, this information is not sent to any third party but either returned to you or destroyed as appropriate after the job/project is complete.
